The role is in addition to the existing HR Administrator in light of the expansion of admin responsibilities from this office. Good computer skills are necessary and a good, confident telephone manner is essential.
PURPOSE OF THE ROLE
- To be a member of the HR administration team, providing HR administrative support to the HR function in Harrogate and two other offices
- To act as first point of administrative contact to managers and staff members on HR administration matters.
- To be responsible for undertaking all centralised HR administrative duties.
- Pre-starter ensure the relevant sign off process has been completed, issue of conditional offer letter and relevant documentation, checking for receipt of relevant documents
- Request employment references, and maintain system to ensure all received in compliance with Regulatory requirements.
- Prepare and issue the induction pack, along with all actions contained within the New Starter Checklist, including the issue of the Contract of Employment.
- Ensure all relevant personnel are advised of the new starter.
- Ensure all relevant documentation, including the Contract of Employment, is returned by the new starter.
- Liaise with Payroll with regards to relevant data input for the on-line flexible benefits scheme
- Arrange Induction Days, booking venue and accommodation where required for attendees, and issue invites and coordinator with presenters.
- Maintain diary system to ensure Branch Directors / Managers are contacted when a new starter has been with the Company for 8 months / or at the conclusion of any stated probationary period, to confirm the continuation of employment. Refer to HR Manager / HR Adviser where issues arise.
- Ensure resignation letter is received and acknowledged, using appropriate letter dependent on the role involved.
- Liaise with Payroll to ensure correct end date is used for salary, and any additional payments are known, such as for outstanding holiday entitlement.
- Ensure any study costs / exam fees are reimbursed in accordance with the Further Education Policy and that Payroll are notified.
- Notify other relevant parties.
- Ensure Company documentation is returned, such as Car Insurance Certificate where appropriate.
- Log all Certificates of Absence and Medical Certificates, including the production of weekly reports on sickness absence. Provide sickness report to the Branch Directors / Managers where individual absence exceeds Company standards. Refer to the relevant HR Manager / HR Adviser where issues arise.
- Coordinate all professional qualification fee payment, and ensure that appropriate documentation is held in relation to management sign off prior to the payment of any qualification fees. Maintaining central records of all payments made.
- Update the Intranet with regards to new starters and leavers, and ensure new starters have immediate connectivity for using the Intranet as part of the Induction process.
- Undertake all other duties as reasonably required and directed, including ad-hoc projects as requested and coordinated by any member of the HR management team.
KEY ACCOUNTABILITIES
Handling the relevant HR new starter actions, including the following requirements, which is not exhaustive: -
Input the new starter on to the relevant IT systems
Issue of maternity / paternity documentation
Handling the relevant HR leaver actions, including the following requirements, which is not exhaustive: -
Ensure the Starters / Leavers List is kept up to date and issued to all relevant personnel at the end of each month.
Provide reports as required by the HR team and relevant management.
Maintain the Company Organisational Chart and ensure it is issued to the necessary personnel and the Intranet is updated.
Some previous HR Administration experience is required.
